PLS Board Positions and Responsibilities

Vice President/President-Elect

  • First year of three-year term.
  • If committees in place, monitors work of all committees, especially conference planning committee.  Works closely with conference planning to assure quality annual conference program.  Appoints standing new standing committee members to fill vacancies.
  • If committee not yet in place, monitors work of those who have been assigned to plan conference programming.  Works closely with planners to assure quality annual conference program.  
  • If committees in place, responsible for active participation and timely reporting of all committee, serving as their liaison to the Board.

 

President

  • Second year of three-year term.
  • Directs and conducts board meetings.
  • Serves as representative to NYLA council.  Reports council activities and decisions to PLS board.
  • With approval of Board, establishes new committees as the need arises.
  • Updates PLS Leadership manual (treasurer has contents) and distributes to all new board members.
  • Assists 2nd Vice President with membership recruitment and welcome letter for new section members.
  • With Treasurer, approves payment of bills throughout the year.
  • Prepares contribution to PLS newsletter.
  • Contributes to NYLA Bulletin when requested, assigning articles and topics to officers, committee chairs and members.
  • Submits annual reports to NYLA's executive director (as outlined in NYLA's Leadership Manual).
  • Prepares annual year end report for PLS membership and presents at annual business meeting.
  • Plans annual PLS business meeting at the NYLA Conference
    Serves as spokesperson for the section.

 

Past President

  • Third year of three-year term.
  • Chair of nominating committee
  • Organizes and implements nominations for office.
  • Organizes and implements election, with the help of the secretary.  Mails (or emails) ballots and position statements, receives and counts votes.

 

Second Vice President

  • Two year term. 
  • In charge of working to promote membership.
  • Liaison to NYLA's membership committee.
  • Updates and prepares PLS membership flier to recruit new members.
  • With the help of the Board, develops and initiates periodic review of membership plan.
  • With the assistance of the NYLA office, twice annually follows up on members who have not renewed with PLS and supplies them with membership literature.


First Year Director

  • First year of three-year term.
  • Serves as PR person for the section.
  • Sends election results, press releases, and other pertinent information to the NYLA Bulletin.
  • Plans, coordinates staffing and designs for the PLS booth for the exhibit area at both the PLS Spring Conference and the NYLA annual conference.
  • Works with 2nd and 3rd year Directors to plan and implement workshops and CE at the NYLA Conference.

 

Second Year Director

  • Second year of three-year term.
  • With the approval of the Board, plans and coordinates the Spring Conference for the following year.
  • Coordinates and publicizes section awards.  Presents awards at the annual conference.

 

Third Year Director

  • Third year of three-year term.
  • Serves as Spring Conference Coordinator and executes the Spring Conference.
  • After the Spring Conference, in consultation with the Treasurer, submits a fiscal report to the Board.
  • Tabulates evaluations of conference programs and suggestions and submits final report to the Board.

 

Treasurer

  • Two-year term, running concurrently with the incoming Treasurer for the period lasting from the end of the Annual Conference until December 31.
  • With the President, approves all section bills to be paid by the NYLA business office.
  • Prepares a preliminary budget for the upcoming year to be presented at the Board meeting at the end of the fiscal year.
  • Keeps accounts of receipts and disbursements and reports to the President upon request and to the Board at each meeting, after consultation with the NYLA business manager.
  • Attends Section Treasurers' meetings sponsored by the NYLA Treasurer.
  • Consults with conference planners (conference planning committee chair for directors and third year director) to prepare a separate report on expenses and income of the Spring and Fall conferences.
  • Prepares financial report for presentation at the section's annual business meeting.
  • Submits final report for the previous calendar year to the Board as soon as figures are received from the NYLA office.
  • Responsible for the cash box at the Spring and Fall conferences.

 

Secretary

  • Two-year term.
  • Attends all board meetings, taking notes, and distributing reports of the proceedings to all board members, the NYLA office, and the NYLA president.
  • Assists the Nominating Committee in preparing, distributing, and tallying the election ballots.
  • Informs new officers and directors of their election and provides all incoming officers with the documents deemed necessary by the President to give an overview of the section's history and current status.
  • Informs NYLA President and the NYLA Executive Director of the complete roster of officers and directors of the section for the current year.  Distributes roster, with contact information, to the PLS Board.  Informs list serve manager of additions to and deletions from the PLS Board list.
